Allocate Role Units on the Resource Planning Page
Before you approve a resource plan, ensure that work requirements for the projects you choose to execute will be fulfilled. While more detailed resource assignments take place during the project planning process, you can make high-level role allocations during the portfolio analysis phase. This ensures that there will be a sufficient number of resources to perform the work on your projects.
Use the Resource Planning page to review and allocate units against individual role demands created by a resource planner. The table contains all of the projects in your portfolio and their role assignments. View role allocation start and finish dates, and demand and allocation values. The Highlight Deficits feature highlights time periods where a role's allocation exceeds its availability. These are the time periods where work units must be reallocated. In the Role Availability detail window, highlighted Surplus/Deficit values measure the number of units by which a role is overallocated for a time period. To resolve allocation issues, enter units by time period for a role or by Total Allocation. Values entered in the Total Allocation field are spread along the timescale in accordance with the role's allocation dates, duration, and calendar.
While you are allocating work units to project roles, consult the Role Availability detail window for additional time-phased role information. Updates you make in the table are reflected in the spreadsheet and charts in the Role Availability detail window.
To allocate work units to roles:
- In the object selector, select Portfolio, and then select View Portfolios List.
- Select a portfolio name.
- From the Main Menu, select Resources, and then select Resource Planning.
- Select an in-progress scenario.
- In the table, expand a project, and then select a role.
- To allocate units to roles, do one of the following:
- In the Total Allocation field, enter the total number of work units to allocate to the role.
- In the Allocation spreadsheet row, enter work units to allocate to the role for the time period.
- In the Role Availability detail window, select one of the following:
- Grid: Displays cumulative role data for all projects in the portfolio. For each role, view Max Capacity, Availability, Surplus/Deficit, and Committed values.
- Surplus/Deficit Chart: Displays a color-coded graphical representation of Surplus/Deficit values for each role. Toggle individual roles to view fewer bars in the chart.
- Stacked Histogram: Displays total selected role data by project. In the Group By list, select a field by which to group the data in the histogram. Select Legend to view grouping details. Toggle individual roles to view fewer bars in the chart.
- Select Settings in the detail window to configure Grid columns, filter the number of roles visible in the detail window, and choose which cost or unit field to display in the Stacked Histogram.
- Select Save.
Tips
- Select Highlight Deficits to highlight allocation values in the table that exceed a role's availability for the time period. Select FTE to display role units in the full-time equivalent values of the timescale interval. To use these options, the Grid view must be selected in the table.
- Select Show only Highlighted Roles in the Role Availability detail window to only display roles that are highlighted in the top table. Highlight a project row to display all roles in that project.
- Hover over bars in the Role Availability detail window to view date and allocation or cost information about each project or role.
- The Max Capacity line on the Stacked Histogram chart represents the maximum availability of the selected roles.
